Decide the channel first. Choose a gift box before you know where the product sells and you may find your pieces per carton fall and your freight bill climbs.

The Three Packaging Levels

Every keychain order has three packaging levels, and each needs its own approval. Confusing them is the commonest reason a quotation misses what a buyer wanted.

Unit pack is what one customer buys: the bag, backing card, hang tag or gift box. Confirm the format, the print, the label content and the barcode here.

Inner carton groups units for handling, often by colour or SKU. Confirm how many units it holds, whether SKUs are mixed, and what marking it carries.

Master carton is the export box. Confirm pieces per carton, carton dimensions, gross and net weight, carton marks and any maximum weight your warehouse enforces.

Ecommerce and Transit Protection

Ecommerce packaging solves a different problem from shelf packaging. Nobody sees it in a shop, so it does not need to sell the product. It needs to survive a courier and look deliberate when the box opens.

Three things damage keychains in transit. Metal charms scuff soft PVC when units rub together. Backing cards bend at the corners when a carton is thrown. Chains and rings snag on each other and tangle in a shared bag.

Bag every unit separately if the order mixes metal and soft PVC, even when the outer pack is plain.

Confirm the card stock weight if you ship carded units without an outer box, because a light card creases in a poly mailer.

Ask for a packed sample and post it to yourself. One courier round trip tells you more than a specification does.

State the transit method at quotation. Protection suitable for a pallet is not the same as protection for a single mailer.

If you sell through both retail and ecommerce, price both pack-outs at the same time. Running one order and repacking half of it later costs more than running two pack formats from the start.

Retail Label Content to Confirm

A retail label carries five things, and a missing one may delay receiving or force relabelling at your cost.

Confirm the barcode. Number, symbology and placement. See the next section for who supplies what.

Confirm brand and product identity. Logo, product name, and the size or variant if you run an assortment.

Confirm country-of-origin marking. Wording and placement follow your destination market, not your home one.

Confirm warning text. Have it reviewed for each market before you print. This one carries real liability.

Confirm importer or responsible-party details. Several markets require a named business on the pack.

Barcodes: What a Factory Can and Cannot Do

A keychain factory prints and places a barcode. It cannot issue one. A retail barcode number is licensed to your business by the numbering organisation in your country, or assigned to you by the retailer as an internal code.

So send the number, the symbology you need, and print-ready artwork with the barcode placed, or say where you want it placed. A factory should then check placement, contrast and the clear space around the symbol on the printed sample, and scan that sample before mass production.

Scan the physical sample yourself if you can. A scan check is not a graded verification report.

Request graded verification at quotation if your retailer demands it, because it is arranged separately and costs money.

Declare assortments early. Mixed colours under separate SKUs need sorting and separate labelling on the packing line, and that changes the price.

Small Parts and Warning Requirements

Last reviewed: August 2026. Requirements differ by market and change over time, so treat this as a prompt to check rather than a rule to follow.

Keychains carry rings, charms, clasps and small attachments, and any of those can come loose. Packaging carries separate considerations: warning text, traceability, and suffocation risk from the bag itself.

In the United States, a children's keychain is not automatically a toy. The importer or domestic manufacturer identifies which rules apply to the exact product, and lead limits, tracking labels, third-party testing and a children's product certificate may apply to covered children's products. Toy requirements apply when the item is a toy.

The EU, the UK, Canada and Australia each run their own product-safety and labelling regimes, and the wording, symbols and responsible-party details differ. Do not reuse a United States pack in those markets without local review.

Classification is fact specific. Regulators consider intended use, age grading, packaging, advertising, foreseeable use and play value, so your packaging design can form part of that assessment. A cartoon character on a bright card aimed at children reads differently from the same charm on a plain adult keyring card.

Artwork, Samples and Approval

Artwork ownership and approval are common causes of avoidable delays, so settle both before production starts.

In most orders you supply print-ready artwork carrying your own barcode numbers, and the factory prints, applies and packs. Ask for a template sized to your product if you need one.

Then approve a physical sample rather than two separate proofs. A soft PVC keychain is Pantone matched in PVC. A backing card is printed in CMYK on paper. The two will never match perfectly, so judge the product and the card together, in the same light. Keep the signed artwork and the specification revision number on file.

Retail-Ready Checklist

Retail-ready means a buyer can open your carton and put the product straight on the shelf without repacking it. Run these five checks on your approved sample.

Measure the hang hole. Confirm it sits in the right place and holds the product's weight.

Hang the card for a day. Confirm it resists curling on a peg hook.

Scan the barcode. Confirm it reads for the first time, with no glare from an over-glossed finish.

Stack two cartons. Confirm the product sits flat enough on the card that nothing crushes.

Compare cards and products in daylight. Confirm the colours sit close enough to look intentional.

Factory Packaging Inspection

Packaging is stage seven of the eight-stage inspection sequence in our published keychain quality control checklist. That stage confirms the approved pack-out for each unit, verifies the barcode or label is correct and correctly placed, checks carton count, carton marks and gross and net weight against the packing specification, and confirms the protection suits the transit method.

Drop or compression checks run when your order calls for them. State the protocol, the sample size and the acceptance criteria in your purchase order so the quotation reflects the work. Request photographs of the finished pack-out before the container closes.

Can I start with polybags and switch to retail packaging later?

Yes. Many buyers run promotional stock in OPP bags and add backing cards once retail orders arrive. Say so at the start so the artwork is planned for both.

Do you print the backing cards?

Yes. Send print-ready artwork carrying your barcode numbers, or request a template sized to your product.

Will a gift box change my carton count?

Normally yes. Boxed items take more space per piece, which lowers pieces per carton and raises volumetric weight in air freight. Request both figures before you commit.

Who is responsible if the warning text is wrong?

Supply warning copy that a qualified reviewer has approved for your market. A factory prints what you approve. Statutory duties and contractual responsibility vary by market and by contract, so confirm both with your own adviser.
